Privacy Policy
This policy explains what data the Discord bots operated by Valithor Obsidion (“ValZarGaming”, “we”, “us”) collect, why, and what we do and do not do with it. It covers Civilizationbot, PS13-Bot, and any other bot published under the same Discord developer account (each, a “Bot”). Civilizationbot — a game-server management bot for the Civ13 community — is the reference for the practices described here; other Bots collect the same categories or a subset.
1. What we collect
Depending on which features a server enables and which commands you use:
- Discord data — your user ID, username and display name, avatar, and the server (guild) IDs, channel IDs, and role assignments relevant to a command. Where a feature needs it, message content is processed — for example chat moderation, cross-server relay, or parsing a command — but messages are not stored beyond what a feature requires (e.g. a moderation log entry).
- Verification data — when you opt into player verification, the association between your Discord account and your game account identifier (BYOND key / “ckey”), and your BYOND account age, so staff can grant roles and access.
- Moderation data — ban records (the banned identifier, reason, duration, and the staff member who issued it), synchronized between Discord and the connected game servers so a ban is enforced consistently.
- Connection metadata — IP addresses of connections to the connected game servers and the coarse location (country) derived from them, used for ban enforcement and abuse / evasion prevention. This comes from the game servers, not from Discord.
- Operational logs — which commands ran, timestamps, and error diagnostics, used to run and debug the service.
2. Why we process it
Solely to provide the features that a server administrator has enabled or that you have invoked — verification, moderation, relay, server management, and command responses — and to protect the Bots, the communities that use them, and the connected game servers from abuse. We do not use your data for profiling, advertising, or any purpose unrelated to operating the Bots.
3. Who can see it
- The Discord community that added the Bot — its staff can see verification status, ban records, moderation logs, and similar data for their own server.
- The connected game servers operated by that same community — verification links and bans are shared with them so enforcement is consistent.
- Infrastructure providers strictly needed to host and run the Bots. They process data only on our instructions and are not permitted to use it for their own purposes.
- Legal requests — where we are required by law, or where disclosure is necessary to protect someone’s safety or our rights.
We do not share your data with anyone else, and we do not sell it — ever.
4. How long we keep it
Data is kept for as long as the feature needs it. Verification links persist while you remain verified in a community. Ban records and the connection metadata tied to enforcement may be retained for as long as the ban is relevant, because their purpose is to stop evasion. Operational logs are rotated and discarded on a short cycle. When a Bot is removed from a server, server-scoped configuration is dropped; records kept for cross-server safety (such as bans) may remain with the connected game community.
5. Your choices
- Don’t use a feature you’re not comfortable with — most data is only collected when you invoke a command or opt into verification.
- Leaving a server stops further collection for that server.
- You can ask us what we hold about you, or ask for it to be deleted, by emailing valithor@valgorithms.com from — or with a way to confirm — the Discord account in question. We will honor deletion requests except where a record must be kept for a legitimate safety reason (for example an active ban), in which case we will tell you.
6. Children
The Bots follow Discord’s minimum age requirement (13, or older where local law requires a higher age). They are not directed at, and we do not knowingly collect data from, anyone below that age.
7. Security
We use reasonable technical and organizational measures to protect the data we hold, including limiting access to what is needed to operate the Bots. No system is perfectly secure; if a breach affects your data we will act promptly and notify affected communities where appropriate.
8. Where data is processed
Data is processed on servers operated by or for ValZarGaming, primarily in the United States. If you use a Bot from elsewhere, your data is transferred to and processed there.
9. Changes
We may update this policy; the “Effective” date changes when we do, and material changes are noted here or announced where practical.
